Membership

1) Membership to the community is open to anyone over eighteen with a LiveJournal account, but only the moderators have posting access. We reserve the right to refuse participants who have failed to turn in assignments in previous rounds, or who have brand-new or inactive journals, at the mod's discretion. Harry Potter and fandom newbies are welcome, but an active journal is required — please contact the moderator before signups if you'd like to discuss this.

2) Make sure you have an age statement IN YOUR USERINFO as required by LiveJournal's adult-oriented communities FAQ that confirms that you are 18 years of age or older.

3) If you have not previously participated in the [info]ronpansy_fest you must submit a link to a fic you wrote of at least 1,500 words (that is not a drabble series) to participate. It doesn't have to be in Harry Potter.

About the Fest

This fest is an Exchange. An exchange is a fandom event where participants swap stories or fanart. They sign up using a sign up template (a registration form), stating what kind of gift they would like to receive. The requests are paired up, a deadline is set, and everyone creates a gift. The gifts are emailed in to the community at ronpansyfest at gmail dot com, and gifts are posted anonymously by exchange staff. About a week after all gifts are posted, the identities of the creators are revealed.

To sign up for an exchange, you must be able to write a story or create an original piece of art. The person you create a gift for for will most likely create a gift for someone else, not you.

Ron/Pansy Fest Icons Contest


We are looking for a set of 15 icons to use in the Exchange, like the ones used by [info]sshg_mod for the [info]sshg_exchange. Participants should send us files of their icons in a .jpg, .gif, or .png file. We will post the images in the post with the poll which will choose the icons for the com. Rules for the contest can be found here.

Submission Rules

1) Requests may be made for art or fanfiction. (Participants may request art for a scene from their own previously posted Ron/Pansy stories.) Format for making requests will be outlined in the sign-up post. Please follow it. We ask that the requests be general — not specific.

2) All requests must focus on the relationship between Ron and Pansy. Genfic that explores their interhouse relationship or their friendship/hatred is perfectly fine. Threesome fic is not allowed, as we want the focus on the main pairing. A romantic relationship is not a requirement.

3) Artwork and fiction featuring or depicting characters under the age of 18 in explicit sexual situations is prohibited on LiveJournal and may not be requested nor submitted to [info]ronpansy_fest. Otherwise, all ratings and genres are allowed.

4) All fics must be at least 1,500 words in length and COMPLETE.

5) Respect your recipient's wishes. If they want a happy ending, give them a happy ending. If they don't want adultery don't give them adultery. If you are not happy with your assignment, please tell the mods right away. It is much easier to simply give you a new assignment and reassign yours to someone else than it is to scramble to find someone to replace you at the last minute.

6) Work must be the original creation of the participating writer or artist. Borrowed words and images (including stock images and bases) must be credited and kept to a minimum. Please, no adaptations that just do a global search and replace using huge swathes of someone else's published story. No songfic allowed.

7) It is your responsibility to have your story beta'd (looked over by a reader to spot everything from story/craft issues to proofing and grammar) and coded properly when the story is submitted. This includes the proper html and LJ-specific coding. See this LJ FAQ for a guide on basic html. We also have a post On Betaing and Being Betaed. There are also several resources for locating a beta reader. Here are some of them:

* Perfect Imagination is a very helpful resource when searching for a qualified beta reader. All beta readers listed in the database are required to pass a canon and grammar exam to become a part of the database.

* Pink Frilly Robes Beta Listing is on a site dedicated to Pansy fan fiction.

* The Sycophant Hex Forums is another excellent resource. Scroll down to the "Beta and Brit-Picker Business" section.

* There are several live journal communities where you can search for beta readers: [info]betareading, [info]beta_search, [info]hp_betas, [info]hpbeta_resource and [info]hp_betas_wanted. (And there is [info]artbeta for art).

* There will be a post after sign-ups to which anyone willing to beta or looking for a beta may comment.


The Harry Potter Lexicon is an excellent resource for canon; a definitive list of canon spellings and capitalizations can be found on the [info]potterwords community by [info]mrs_muggle; For britpicking there is [info]hp_britglish. We highly recommend the Science Fiction Writers of America's Turkey City Lexicon and Macedon's The Craft of Writing for a compendium of common mistakes of beginning writers and pointers on style.


8) It is your responsibility to split a multi-chapter story into chapters. LJ will accept a post of approximately 64 kb or about 10,000 words. If your story runs longer than that, it will have to be split into chapters. If we split the story for you, we cannot guarantee that we will split it at the most advantageous point in the story.

9) Artwork should be submitted to the exchange email in .jpg, .gif or .png format and be no larger than 800 by 600 pixels.

10) Stories should be submitted to the exchange email in .txt, .rtf or .doc format or should be included in the body of the email.

12) All fic and art must be posted here originally on the com. You can archive them elsewhere if you wish, after we have officially revealed authors.

Between Mod and Participant

1) Three strikes and you're out. If we email you three different times and get no response, you will be kicked out of the exchange. We do not expect a response within 24 hours, but we won't wait longer than a week, and as dates grow closer to the fest kickoff, we will be less tolerant of a lack of a quick response to our queries. If you won't be around for X dates, it would be wise to let the mods know, or to put something up in your LJ saying that you are out of town until X. If you need an extension or if you need to drop out, tell the mods as soon as possible. If you do drop out, you cannot sign up for the next round. But, better to drop out, and drop out early, then blow us off. If you tell us well before deadline you must drop out, we may waive the requirement you skip a round. If you go AWOL, that is, not respond to repeated queries in a reasonably prompt manner we will ban you from participating in the Exchange again.

2) Any email communications between mod and participant are confidential. We will not put you on a wall of shame if you drop out, and we'll not be posting about email communications on LJ. In return, we also expect participants not to post about private communications between them and the mods on LJ. Which doesn't mean you can't bitch about what idiots we are and how asinine our rules are or how poorly run the Fest is based on our public behavior. In the spirit of the Exchange, we also expect you will not publicly disparage either your recipient or their prompts on LJ.

3) Do not discuss your assignment with your recipient. If you have questions regarding the prompts or your recipient's preferences, contact the mods, and we will contact the recipient and forward the answers to you.

4) We will do our best to ensure all participants have a gift in exchange for their contribution. However, this cannot be guaranteed. If you take part and the person for whom you are writing / drawing has dropped out, we may not be able to find a pinch hitter to take over their tasks. In that case, your work will be posted to the community at large.

Community Code of Conduct

1) Flaming, bashing or trolling will not be tolerated. Depending on the severity of the offense, even first time offenders may be banned.

2) Stories and artwork archived at [info]ronpansy_fest shall remain the property of the participants and are not to be posted, archived or redistributed elsewhere, except where the participant permits.

3) Please have respect for the pairing if you intend to comment — respect for the pairing is respect for the community, its writers and members.

4) The [info]ronpansy_fest is about community, not just about receiving gifts. Please join the community so you can keep track of exchange posts. Taking part in the exchange includes participating, reviewing and supporting others. To not graciously review and thank your gifter is rude and hurtful. We believe constructive criticism of fan fiction is generally a good thing, but not on an exchange with its time pressures and requirement to write to a prompt. So we ask that you keep your comments and reviews on the community upbeat and encouraging. Anyone who feels they are being flamed please contact the mods.
